anyone an expert here?

Right now I have it setup so if a patient clicks my google ad and takes an online screener it sends them an email to schedule a telemedicine visit. I want to automatically send an email to my secretary if the patient does not schedule.

What system are you using to schedule the visits?

So the question is how zapier will know if they schedule. Does zapier do calendly? If so, you can edit the first zap so it also adds a row in a google sheet when they fill out the screener (with their name, email, and whatever info you want). Then you could run a zap when someone schedules with calendly which finds their row in the google sheet (based on email address?) and marks in a column that they scheduled.

Then you could edit the first step so that it ways a few days or a week, looks up their row in the google sheet, checks if they scheduled yet, and if not, sends the email.

Let me know if you need any further help!

Glad to try and help! Can you give more details about what you tried / what's not working?

When looking for a solution for syncing data between sisters, I found Zapier to be cost prohibitive for larger projects.

If you're comparing to enterprise software zapier doesn't cost that much, but it's not so effective for syncing. It's better for one way data transfers or for causing things to happen when other things happen.

Sounds good! You can make it an hour delay and test if you want :)

this is my current workflow:

Pt clicks ad and takes online screener. (this automatically adds them to my smartsheet)
they get an email instructing them to schedule telemedicine visit (if they submit at night or weekend this is delayed to next business day)
if they schedule they get an email with instructions for telemedicine visit and with intake forms
if they don't schedule, my secretary gets an email 2 days later.

i have to work on confirmation email for day of visit. also thinking about adding texting

Sounds good! If you're using smartsheet you can probably log whether or not they've booked in there, instead of maintaining a separate google sheet

the google sheet is populated from the responses from the form. I don't own the smartsheet (my medical biller does) so i can't add my own elements there, just add relevant info to his columns.
