Best way to go paperless in office?
« on: July 10, 2017, 10:50:37 AM »
Looking for a fast scanning system but more importantly a fast way of organizing/cataloging the scanned docs.

I'm looking to go completely paperless and I know, with research, I can find a good scanner but I'm more concerned about the time it takes to place each doc in its appropriate location. Clicking to find the folder after each item is definitely not that way to do it. So, does anyone know of a way to scan and organize lots of docs very fast and also being able to find them again quickly?

Thanks
If it's not free shipping it's not worth it.

Fujitsu scansnap

Thanks I know that's the best scanner out there, but what about the post scanning process? How easy/fast is it to place each item where it needs to go?

I don't see how you can speed up that process as it must be done manually

Yup it's worth every penny, bought one from costco a few years ago and it just stopped working(didn't take the papers properly, was eating two at a time.) went and got the newer addition and works like a charm, and nice and fast. A real breeze to have a quick and clear working machine.

You might benefit from a batch renamer program.
Workflowy. You won't know what you're missing until you try it.

We use the fujitsu scanner together with Paperport program. You can clearly see all docs scanned... Drag to appropriate folder... You select a specified folder for all your scanned docs. Keep paperport open to that folder, the second you scan, you will see it there... drag and pull wherever you'd like to place it. (you can pull files out of program window into an open folder..)

Have 5 or 6 of these . Use the scan to folder feature mostly, or scan to email as needed.
Never considered paperport, are you saying it would be quicker?
To answer OP's question, there's no magic way, you'll probably need a full time scanner person for a while, and come up with a good filing system. It's tedious work, and needs the right personality fit.

Thanks that's what I figured. I have used paper port but years ago I wonder how different it looks these days
